Description of Job
The DMV Driver Control Section exists to administer motor vehicle statutory requirements affecting driver's privileges to compile and house motor vehicle related data and documents through data entry, electronic imaging, and filing. The Back Office Cashiering (BOC) Unit exists to process all transactions submitted by mail for Driver Control in a secured environment, including reinstatement of driving privileges, motor vehicle record (MVR) requests, accepting citation payments, pulling crash reports, and processing mailed driver licensing requests.

We're hiring a detailed, customer service oriented leader to be our Administrative Assistant III in our BOC unit in Driver Control! Your ability to anticipate the needs of the unit and staff will ensure the workload is distributed correctly and that staff are following policies. You will analyze data regularly to create reports and pull statistics to better understand the needs of the unit. If you're ready to make a difference at DOR, then this job may be for you!

Primary Duties:
  • Team lead - Assist with escalated customer issues (in-person and email), assigns work to staff as directed by the unit supervisor, instructs and trains staff, ensure proper staffing, shift resources for coverage and achieve unit goals, and assist in reconciliation of cash drawers.
  • Process development and maintenance - Develop and maintain standards to ensure compliance with policies and statutes, establish and maintain work logs, mail and form requests, provide training on procedures, policies and regulations, create reports for quality assurance, and compile statistics.
  • Cash handling - Receive and verify payments and documents, enter information into the appropriate systems, reconcile transactions, and make deposits.
  • Scan and image documents
This position reports to the Lakewood office.

MINIMUM QUALIFICATIONS:

Option 1:
Three years of experience in a general clerical position.
General Clerical work experience is typically performed by office clerks and/or administrative assistants this includes, but is not limited to tasks such as:
  • Experience providing exceptional customer service in-person or in email; interfacing with a variety of people from many levels within the organization and community.
  • Data Entry including: entering information into a program or database (appointments, contact information, customer records)
  • Regular, daily work responsibilities utilizing equipment and software used in offices (E-Mail, Microsoft Office programs (Word, Excel, PowerPoint), Google Apps, etc.)
  • Regular, daily work responsibilities utilizing computer systems, scanners, printers, copiers, fax machines and other technologies
  • Typing professional emails, letters, reports, briefings, forms, memoranda, etc.
  • Reviewing and comparing data for accuracy and completeness. Gathering specified information and compiling routine reports
In order to be considered for this position, your general clerical experience must be documented on your application. (Part-time experience will be pro-rated.)
Option 2:
One year of experience in a general clerical position as described above. 
AND
Associate's degree Business Administration, Accounting, Public Administration, or similar field.

Option 3:
Additional appropriate education as described above will substitute for the required experience on a year-for-year basis. 

Preferred Qualifications:

  • Previous supervisory or lead work experience. 
  • Two or more years experience with cash-handling, cash management, cash reconciliation.
  • Ability to enter and analyze data. 
  • Knowledge and experience with the State of Colorado laws that govern the motor vehicle statutory requirements affecting driver's privileges.

Conditions of Employment with the Colorado Department of Revenue:
1.   As a condition of employment with the Colorado Department of Revenue, a requirement exists that all personnel timely file all necessary Colorado Individual Income Tax (CIIT) returns and timely pay tax obligations. As such, all employees must undergo a pre-employment evaluation of their tax records/accounts to ensure compliance with this policy.

Years will be expressed in terms of full-time equivalent service with full-time workload equal to one (1) Full-Time Equivalent (FTE) year.
